Registrations and Refunds Policy
This Registration and Refunds Policy (the “Policy”) outlines the process and procedures by which intending participants register for and seek refunds of registrations not undertaken. It includes special registration information and eligibility criteria. “The Committee” means the committee of representatives of the five Western Australian universities who host the Forum annually as described in the Terms of Reference. The five Universities are Curtin University, Edith Cowan University, Murdoch University, The University of Notre Dame Australia, and The University of Western Australia. “The Website” refers to the information at www.wateachingandlearningforum.org. The WA Teaching and Learning Forum may be referred to as "Forum" or "WATLF"
All participants and presenters must register for the Forum.
Registration is conducted through the gateway provided.
Registration types are:
a. Two-day early bird registration (standard)
b. Two-day full registration (standard)
c. One-day registration (standard)
d. Student two-day registration
e. Student one-day registration
For one-day registrations for both standard registration and student registration:
a. Registrants select which day at registration
b. Registrants may change the day of attendance by writing to
info@wateachingandlearningforum.org no later than 1 week prior to the Forum
c. The host institution may accept later day changes, depending on other financial and organisational matters, as determined by the institution.
For student registrations:
a. Only eligible registrants may register as students - see Student Registration Eligibility below
b. Registrants may upgrade registration to a normal registration.
Details for registrants must be provided at registration. These details include full name, title, job position, email address, telephone number, institution, dietary and accessibility requirements.
The person completing the registration details is responsible for ensuring that all of the details are correct, including spelling, and particularly contact details. The Forum Committee and the host institution are not responsible for errors arising from incorrect, incomplete or inaccurate registration details submitted for each registered participant. Errors can be fixed with a message to the Forum using the email on the Contacts page.
The host institution may, from time-to-time, enable alternative registrations through other means as determined by them.
Sponsors may have representatives registered on their behalf by the host university in accordance with their level of sponsorship.
Student registration is available for full-time students of a Western Australian university or tertiary institution who hold a current Student Identification Card.
Student registrations are limited and are subject to approval.
Employed staff who also study are not eligible for student registration. The Committee may grant exceptions for full time students who can be verified that their primary role is as a student, but they are also employed in a limited manner by a Western Australian institution.
To be eligible for student registration, the following must be provided:
a. a digital copy of the registrant’s student ID card with a Statutory Declaration attesting to its authenticity
AND
b. a written statement from the student’s supervisor or the Institution verifying student status
OR
c. verification from a member of The Committee from the same Institution as the student.
These documents must be emailed to info@wateachingandlearningforum.org at the time of completing the registration online.
A student registration found not to meet the eligibility requirements will be required to pay for the relevant non-student registration or have their registration cancelled and the payment made refunded in accordance with the Refunds policy.
Registration includes registration details and payment.
Registration is conducted through the payment gateway provided by the Host University.
The Host University provides a link to the payment gateway on the WATLF website.
The Host University manages registration payments, refunds, registrants’ details, and other related matters.
Registration may be completed for multiple people in a single transaction - the number of people will depend on the host university’s payment system and set up.
Payment must be made via credit/debit card at the time of registration.
Invoices will not be generated for payment outside the gateway.
You may cancel and receive a refund on your registration under the following conditions:
a. Registration cancellations received up to 2 weeks prior to the Forum will receive a full refund.
b. No full or part refunds will be given for cancellations or changes to registration received after 2 weeks prior to the Forum. However, a substitute delegate may be nominated to attend at any time.
Registration cancellations, changes in registration type or delegate substitutions must be made in writing to info@wateachingandlearningforum.org.
We may make changes to the Forum and registrations under these conditions, but not limited to:
a. Force majeur
b. Other exceptional or unplanned natural, political or other occurrence
If we need to change the Forum, we may
a. Move the Forum fully or partly online
b. Postpone the Forum to a later date in the same year
c. Cancel the Forum for that year.
We will notify all registered participants (includes registered presenters) using the email provided at registration at the earliest practicable time.
We will refund registered participants (includes registered presenters)
a. Where the WATLF is moved fully or partly online – a partial refund taking into account administrative, unrecoverable organisational costs, and whether the Forum is partially in person
b. Where the WATLF is postponed, a full refund if a registrant is unable to attend the new date
c. Where the WATLF is cancelled, a full refund.
